The Accounts Payable Data Entry Clerk is an entry-level position that is responsible for invoice dispatching, accurate data entry, file maintenance and record keeping. Strong data entry skills, and attention to detail, patience and persistence are all must-haves in this role.

Responsibilities and Duties

  • Develop and provide a high level of customer service to owners, employees, vendors, and subcontractors
  • Dispatch incoming documents from invoices inbox
  • Accurately enter data and route invoices to the correct approver or budget manager
  • Maintain digital and physical financial records
  • Uphold department standards of organization and accuracy
  • Assist financial & accounting department as needed, performing various assignments under the direction and supervision of accounts payable manager and senior accounting staff
  • Filing, mailing, and other duties as needed
  • Apply caution in providing appropriate information by gaining an understanding of the underlying need
  • Develop an understanding and awareness of the Company’s organizational structure and operating divisions
  • Develop an understanding of construction contract terms, construction estimates and the utilization of billable and non-billable cost codes pursuant to the accounting department’s standards
  • Actively participate in and help shape the development of procedures related to this position as the business changes
  • Respond quickly to re-prioritization of duties
  • Uphold department standards of organization and accuracy
  • Demonstrate and support a culture of diversity, equity, and inclusion
  • Due to the cyclical nature of accounting cycles, work assignments will be based on department needs which may change regularly

Qualifications and Skills

  • 0-1 year of experience in an office in a clerical or administrative position, with a desire to grow and learn more about the AP cycle
  • Associates degree in accounting or equivalent professional experience preferred
  • Proficiency with MS Office Suite (Outlook, Excel, Word)
  • Experience with web-based solutions such as Smartsheet and Slack is preferred
  • Familiarity with Sage 300 CRE, TimberScan, and Adobe Acrobat is preferred
  • Excellent organizational skills and high attention to detail
  • Highly proficient data processing dexterity in working with multiple financial applications
  • Aptitude for numbers and quantitative skills
  • Ability to follow instructions carefully
  • Ability to work independently as well as part of a team
  • Ability to provide and receive constructive feedback, objectively
  • Ability to work under pressure to meet schedules and tight deadlines
  • Ability to respond quickly to re-prioritization of duties
  • Self-reliant; a resourceful problem solver
  • Must be able to communicate clearly and effectively with a wide variety of people
